Germany National Visa Appointment Registration Process


Step 1: Required Documents


To register your application for a Germany National Visa appointment, you will need the following documents:


1. Passport


Clear photo or scanned copy of the first page and all pages containing any visas, stamps, or markings.

Passport must be valid for at least 1 year from the date of registration.

Ensure the passport is in good condition and all details are clearly visible.


2. Supporting Documents


Depending on your visa category, provide the following in PDF or clear photo format:

Employment Visa: Job Offer, Work Contract, or Pre-Approval Letter from Employer in Germany

Freiwilligendienst: Volunteer Program Confirmation or Contract

Au-Pair: Signed Au-Pair Agreement between you and the host family

Internship Visa: Internship Offer or Training Agreement from a recognized German institution

Specialty Chef Visa: Employment Contract and Proof of Professional Experience (e.g., previous employment certificates, culinary qualifications)


3. Residence Proof (if applicable)


If you are applying from a country other than your nationality, you must provide:

A valid residence permit or visa showing that you have legally stayed in that country for at least 6 months.

A clear, high-quality photo or scan of the document, including its number, issue date, and validity period.


4. Completed Registration Form


Please include the following details accurately:

Surname and First Name (as per passport)

Maiden Name (if applicable)

Marital Status

Full Residential Address (Country, Region, City/Village, Postal Code, Street and House/Apartment Number)

Email Address (one candidate per email — ensure accessibility)

Country Code and Mobile Number

Date of Birth

Passport Number and Validity Date

Purpose of Stay (Employment / Freiwilligendienst / Au-Pair / Internship / Specialty Chef)

Employer’s Email Address in Germany


Step 2: Registration Process


Submit all required documents and your completed registration form through our secure system.

Our team will review your information and register your profile on the official German Embassy appointment platform under the correct category.

After preliminary registration, the Embassy will send confirmation and further steps directly to your registered email address.


⚠️ Important Notes:


Embassy systems are sensitive — any incorrect or duplicate submissions may result in a temporary block (48–72 hours) before resubmission is allowed.

Registration is processed Monday–Thursday during Embassy working days.

This step registers you for the waiting list only; appointment dates are assigned later by the Embassy.


Step 3: Document Processing


Standard processing time for registration and document verification is 2–4 working days.

Ensure all files are clear, readable, and accurate — incorrect or incomplete entries may delay your registration.

Once your appointment is confirmed, you will receive an official email from the German Embassy or VFS with your appointment date, time, and reference number.

All Embassy updates and appointment notifications are sent directly from the German Embassy system to your registered email address.

Please check your inbox (including spam or junk folders) frequently and wait for further instructions.
